Thought you all might get a chuckle (or a groan) over the current ranking
of tech writers (a.k.a secretary) in my neck of the woods.
I was rather surprised to see that writing a training manual actually
ranked a tad above watering the plants and making coffee.
While I certainly do not mean to devalue the insanely demanding role of the
secretary, isn't this a little like expecting the Xerox repair guy to stump
as a systems analyst?

Position Summary:
The Administrator performs a variety of clerical activities involved with
greeting and screening visitors, screening and referring telephones calls,
scheduling appointments, answering questions, supporting executive and
management staff, and providing general information about Evenium, Inc.
This person may also perform special projects or activities as assigned.

Administrative Assistant:
? Maintains courteous and efficient operation of the front office reception
area.
? Intermediate to Advance computer skills (Word, Excel and PowerPoint)
? Maintains courteous and efficient operation of the Evenium phone system.
? Effective in their administrative / marketing support role to others.

Core Responsibilities:
An Administrative Marketing Assistant's responsibilities fall into five
categories of skills:
Leadership
? Recognizes the importance of their role in being Evenium?s initial point
of contact for all incoming / outgoing calls (existing clients, potential
clients, potential employees, existing employees, etc.).
Technical expertise
? Answers calls within 2 rings and directs calls for all incoming lines.
? Tracks the whereabouts of personnel at all times (is aware of the
surroundings).
? Maintains the database of unsolicited resumes.
? Maintains the filing system(s) (Invoices, Vendors).
? Orders supplies and maintains the office inventory.
Human skills
? Greets customers, potential employees, vendors, and delivery individuals
in a pleasant manner.
? Is courteous and discerning when answering all phone calls.
Administrative skills
? Maintains the front desk in an organized, orderly manner.
? Maintains the weekly calendar(s).
? Create training manuals
? Arranges for couriers.
? Places orders for nonsupply items such as software, books, etc.
? Sorts and distributes the mail.
? Maintains, updates, and distributes the employee telephone list.
? Makes coffee and keeps kitchen area tidy.
? Waters plants.
? Provides clerical assistance for various staff members on an as needed
basis (4-hour work turn around):
- CEO
- VP of Client Services
- VP of National Accounts
? Maintains and schedules projection equipment to meet the requirements of
conferences and meetings.
? Schedules meetings, conference calls and interviews.
? Ability to multi-task.
? Maintains/creates new employee folders and recruiting folders.
? Maintains resource/skills/knowledge base in Access; hard copies in file.
Experience:
? 2-3 years reception or related activities preferred.
