I set up all my mails to go to my hard drive - one .pst for each project, so
when it's dead and gone I can remove it from view in Outlook, but the file and
emails still remain on my hard drive for future reference if I need them. I use
rules to automatically move the mails, which works for about 95% of them.
Only thing is to remember to periodically back up the files from the hard drive.
I receive a vast volume of emails with attachments, my server space would maybe
last a week if I didn't do this.

In Outlook AutoArchive is a good feature. It can remove emails from the mail
server and put them on a local disc.
The settings for it are in one of the Menus. Shouldn't be too hard to find. I'm
using 2007 so it's probably different.
Some server admins only give you a certain amount of space, so AutoArchive is
convenient as it runs periodically and you don't need to worry about running
out of space on the mail server.
AutoArchive creates an 'Archive' folder in your 'Mail Folders' list. This can
be accessed, searched and sorted like any other mail folder.

Archive makes a COPY and does not remove anything. It makes a backup copy.
I usually have it on in other products, but don't use Outlook by choice.
