atw: Re: Word page numbering question

Hi Elizabeth.
It is possible to do what you ask, but it is time consuming on big
documents.

Now I am having a few problems remembering, its nearly twelve months
since I set this up.
Firstly, set up bookmarks throughout the document for your chapters and
appendixes.

Then go back to your Toc and modify the TOC fields to pick up the page
numbers etc by reading bookmarks.
Next go down to your headers and footers and turn off the "Same as
previous setting." you now need to manually configure the field codes
for page numbering using the long version of the page numbering field
code (its in the help). From memory the other thing you need to do is
set a style for the appendix heading (like Heading 1 numberless) and use
that to work the footers and header fields to operate only within your
bookmark.

I remember I had to use some manual formatting in the page numbering for
the Appendix (especially if you wanted "A-1" etc. The numbering for
pages in the page numbering fields needs to be linked to the bookmark.

Finally set up the fields for page numbering manually in the appendix to
achieve the desired effect.
I am unfortunately really busy today, so I can't stop right now to do
it. Worse still, I can't find an old template which has the attendant
field codes... Bummer.

The trick is to think carefully how to limit Words penchant for doing
its own thing by manipulating the field codes, which you really need to
code manually for this sort of application. I will try and play with it
tonight before I off to a meeting.

I hope this helps a bit.
Regards Warren.

Subject: atw: Word page numbering question

Ok all you gurus of the Word kind - I have a question!
I have a document template (Word 2002 / XP) which has the TOC in its own
section (page numbering lower case roman), a main section (page
numbering arabic, starting at 1), and an appendix section (page
numbering upper case roman, starting at I).

My issue is in the appendix section. I would like the page numbering in
the appendix to say A-1, A-II, ... , B-I, B-II, etc - and for this to be
reflected in the TOC.

I have created styles for the appendix headings (Appendix A, Appendix B,
etc), so if I use a styleref field in the footers, I get Appendix A-I,
Appendix A-II, ... , Appendix B-I, Appendix B-II, etc. This is fine -
I'd prefer just the appendix letter followed by the page number, but I
can live with what I have.

The thing is, these are not reflected in the TOC at all - I just get I,
II, ... I, II, etc - not terribly helpful. The only way I can see to
carry the chapter number into the TOC is if I use the "include chapter
number" - but then it will only allow me to use the standard Heading 1-9
styles, and not my Appendix heading styles. This is a pain!

I could modify some of the lower level styles, Heading 6-9, to become
appendix heading styles, and then reset their levels in the TOC options,
but this template is for other people to use - using Heading 6 for
Appendix Heading 1 will really really confuse them.

Another option is to use continuous page numbering throughout the
appendix section, so although the Appendix letter doesn't prefix the
page, at least I don't have a bunch of TOC entries all starting at page
I.

Does anyone have any ideas on this?
