Hi again Helen (H).
If file size is the major issue, I have a couple of options:
1. (Always my first preference) Don't embed any large graphics in the document.
Replace each inserted graphic link to the original instances of the
graphics in their external folders (Word: insert > picture > from
file > (insert picture dialog displays) click the drop down arrow to
the right of the Insert button and select Link to File. Then the
images will be linked but not embedded in the document.
General Tip: If you want a graphic to insert to fit within the page
size and its text margins, create a single table cell (with or
without a border line as you wish) and insert the graphic link within
that cell. The graphic will scale to fit the cell.
2. Just record a simple macro, which you can assign to either a
keystroke sequence of your choosing or a tool bar button that, when
you click to select a graphic in the document, goes Ctrl+X (cut) then
Edit > Paste special... > as (the most compact pictorial file format
available in the pick list) and click OK. Use this independently as
a cleanup tool.
Note: The Windows Metafile or enhanced Windows metafile options might
be unavailable depending on what you have copied into the paste
buffer. Remember that metafiles work best with structured drawings.
Colour and other picture grading and detail information could be lost
if you change a bitmap image to a metafile representation in the
document. Be mindful that this process will lose any OLE links to
launch any applications, such as with a Visio drawing or Excel
spreadsheet associated with any graphic that you change.
