You can do this by inserting "TC fields" immediately before or after each 
figure, then using a TOC field with the \f switch to create the table of 
figures. You can read up on these in the Word online help: see the entries 
listed under 
Field codes: TC (Table of Contents Entry) field 
and 
Field codes: TOC (Table of Contents) field. 

The TC fields are hidden fields and you can type in the text you want to 
label the figure, eg  you put a field that looks something like {TC 
"\"Figure 1: Selecting a site\"" \f i} immediately before or after the 
figure (the letter i after the \f is just an identifier you choose), then 
to get the table of figures you use a field like { TOC \f i}. 

The text "Figure 1: Selecting a site" will then be used in the table of 
figures. (You could embed a SEQ field in place of the 1 in "Figure 1" if 
you want to do it really properly, so it updates automatically). The extra 
\" symbols are there to insert the quotes within the quotes needed to 
define the field. You'll have to play around with these to get them to 
look right.

The hidden fields won't be printed, so should meet your requirements.

I realise this is very sketchy, but hope you can find out more from the 
on-line help.

Hi all,
 
I hope you can help.
 
I am working with a large MS word document and want to auto-build a 'table 
of figures' (using Insert) but the figure captions are already shown as 
part of the image graphics.
 
I want to have the figure captions appear in the 'table of figures', so I 
assume that I will have to include some text (or ?) - that specifies the 
caption content for the table of figures - immediately before each 
figure.  But I do not want this extra text (or ?) to be visible in the 
document as read, nor do I want it to 'magically' appear if the word 
document is processed for publishing etc.
 
Any suggestions?
