Hi Michelle,

A good manual system is to create a directory which is backed up daily with
a copy going offsite once a week. The documentation controller (that would
be you), assigns draft version identifier to each change in the document.
Saving these drafts will provide a record of latest copy. Make sure your
system admin sets permissions on this documentation directory for 'read
only, take a copy' access for all users except yourself (the document
controller). Using your spreadsheet will allow people to know what the
current versions are. You could even hyperlink the list or convert it to
html and keep it in the document directory.
