This is an old post, but had I read it back then I would have had this 2¢ to
say....
the shirt is from Sanmar, cost is for case price, and over $200 they ship
for free. So you have no hidden cost there. Embroidery cost is reasonable,
even screenprinting it wouldn't be much cheaper.
I'd be pricing that out around $13 or so for a good account, with a 50%
deposit, and balance COD, with 60¢ for a one color imprint. "30 day terms'
would be higher-I don't finance my customers.
Embroidered-I'd say you are offering a good deal. Compared to the ASI
(industry Advertising Specialty suppliers catalogs) pricing-that's BELOW
what most companies you could sub to would charge retail.
As for you comment ' he will order them tomorrow and have them by Monday' I
guess when you posted this note there was less than a week's time between
his order and expected delivery....
So he's yanking your chain...for several reasons
1) unless he ALREADY had a supplier with the shirts IN STOCK I'd place bets
that you could NOT guarantee the Sanmar would have exactly what you need IN
STOCK and on your doorstep the next day. Especially if it has to be an exact
color, exact size order
2) don't know how many heads you run, so how many hours to sew this size
order? and have the right color threads on hand, etc. is there a local
competitor that can produce a rush order like that and have it to the
customer on time? If it's not local, then you have to figure in shipping
from 'wherever'...and that means a freight charge!
3)setup, digitizing, hooping charges...any of this not figured into the
'shirt' cost? 
I get calls like this all the time-the bulk of my business is screenprinting
since I only have one Amaya. But everytime I start pulling teeth out of the
customer that calls me with the same scenario-the local community center
does it all the time with orders of 700 team shirts, etc.-I can get them to
admit one way or another that they ALREADY have the order at another shop-or
someone already has the shirts in stock-and they are only using ME to drive
the cost down. Getting a lower price from me-they are going to run back to
their other shop and tell HIM/HER that I can do it cheaper...since he
already has the goods-chances are he'll drop the price to save the order!
I don't play that game...I tell them that the next big order I get-I"LL send
it to the other guy too!!!!!!
I know I lose orders by these cheapskates...but hey, I have kids to feed and
leases to pay on equipment...usually the 'other' guy is operating out of his
garage or basement and doesn't have the overhead. New shop opened up here
doing just that-went to zoning and got 'waivered' to put their
screen/embroidery shop in residential area claiming 'hardship'.....while
half of the commercial space in town is vacant.
don't sweat over it....you have time to take care of your customers that
appreciate good service!
