I'm pretty sure he's using Outlook 2003  :)

To make BCC fields appear, do this:

Do control N to start a new email. Then alt V to get into the view menu
and scroll down to BCC and hit enter.  From now on, you'll find a to
field, a CC field, a BCC field and a subject field at the top of all
emails you write. 

Alt V then B is the shortcut way of doing this but crucially from within
an open email you're writing. 

Anything you put in the BCC field is hidden from people you send it to.
Separate each email address with a semi colon and a space immediately
after as per convention.

When you send a new message, you have a "To:" and a "CC:" field,
either of which you can use for the addressee.

You should also have a "BCC:" or "Blind Carbon Copy" field.  If not,
there is usually a means of making it appear, but we need to know what
mail program you are using.

For example, it Outlook 2007, in the Options ribbon's "Fields"
section, there is a "Show Bcc" icon which when you are in a message
which you are sending and click on it will toggle the filed on or off.

Yes - put the distribution list in the BCC: field.  That way
nobody else will know who you have copied the message to.

I know how to do distribution lists but I have been warned
off about them as everyone sees every one else's info. Is
there another way of doing this?

The easiest way to do what you want is to set up a
distribution list, but without creating one myself at the
same time as writing this message I couldn't give you the
exact keystrokes, maybe someone else on the list will be
able to help with the keystrokes you need to use to achieve
the creation of a distribution list.
