My proposals are usually pretty straightforward, and, depending on the
needs of the specific project, are based on a phased approach. I outlined
the phases (for instance, in web development: Research, Design,
Production, Deployment) with clearly defined objectives and
deliverables. ALWAYS I mention that the price, schedule and assumptions
outlined in the proposal are contingent upon findings in the Research
phase, and that I reserve the right to change the scope or cost of any
phase. This is a good "out" because A) I can estimate how much time I
will put in the Research phase based on my current knowledge of the
client/project, and B) I can still provide the client with a quote based on
my current knowledge and assumptions.
I also include a change order procedure and distinct deliverables list.
I could go on and on, but this is the general jist. I hasn't failed me yet.
